10 Best Day-of Supplies for Event Planners

As a meeting and event planner, you know that there are a million-and-one things to think about when preparing for and running an event. From the big-ticket items like the venue and food to the smallest details like signage and name tags, it can be easy to overlook some of the more important day-of supplies as you pack for the big day in Davis County

Here’s your checklist of the 10 best day-of supplies that are frequently forgotten but would help the day run more smoothly:

  1. First-aid kit 

This is a must-have for any event, no matter how big or small. You never know when someone might get a small cut or scrape, so it’s best to be prepared. Make sure it is stocked with essentials like Band-Aids, antibiotic ointment and pain relievers (you will want them!)

  1. Multi-tool

A multi-tool is a great way to have a variety of tools on hand in case of an emergency or for those Macgyver situations that seem to pop up at every event. The tool should at least have pliers, a knife and a screwdriver.

  1. Flashlights

This is another must-have for any event, especially if it’s being held at night or in a dark location (or you just need to find the holes in the outlet under the tablecloth!) While we all have one on our phones, having a good old-fashioned flashlight to hand off to someone in need keeps you undiverted from the task at hand.

  1. Batteries

Make sure you have plenty of batteries on hand for your flashlights, radios and other electronic devices. Charge up everything you can the night before so you are ready to rock. Don’t forget your power pack for your phone!

  1. Tarps

Probably not top of mind, but having a tarp available can sometimes make it or break it, particularly at outdoor events. Protect your event (or your “office”) from the elements, whether it’s rain, snow, wind, mud or sun.

  1. Rope

Rope can be used for a variety of tasks, such as tying down tents, hanging banners and creating makeshift barriers. You will definitely want it for securing that tarp, should the need arise.

  1. Extension cords and powerstrips

Extension cords are essential for any event that requires power. Many venues will have these available (typically for an up-charge), but having your own backups and knowing exactly where they are saves a ton of time (and money!)

  1. Clean-up supplies

This includes rags, trash bags, brooms and dustpans. You’ll need these to clean up after your event, so make sure you have a few on hand to finish the job quickly. Some all-purpose cleaning spray is good for spills or sticky tables, too.

  1. Sunscreen and/or bug spray

For those outdoor events, your future self will be thanking you! Just don’t forget to reapply sunscreen regularly. Particularly in Davis County, where we live at 4200+ feet above sea level, the sun is not filtered through as much atmosphere, causing burns more quickly. Slather up!

  1.   Water

This is essential for both you and your guests. Make sure you have plenty of water on hand, especially if your event is being held outdoors. Events held at a higher elevation require a higher than typical water intake to avoid altitude sickness and to combat dry air.
